Pathways Education Solutions ("PES", "Pathways", "we", "us" or "our") connects international students and their families with Australian schools and universities through a global network of International Partner Schools and education representatives, including our RedNote Emerging Market Engagement Program. We are committed to protecting the privacy of everyone who interacts with us — students, parents and guardians, partner schools, agents, and visitors to our website — and to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what personal information we collect, how we use and disclose it (including overseas, given our offices in Sydney, Wuhan and Hanoi), and how you can access, correct, or raise concerns about your information.
The personal information we collect depends on how you engage with us. It may include:
Contact details — name, email address, phone number, mailing address, and preferred language.
Student and family information — date of birth, nationality, current school, academic records, English proficiency, areas of study interest, and, where relevant to placement or boarding, guardian and emergency contact details.
Enquiry and enrolment information — details submitted through our contact forms, enrolment applications, or in correspondence with our team and our partner schools.
Partner and agent information — business contact details, school profiles, and communications with international schools, education agents, and representatives in our network.
Technical and usage information — IP address, browser and device type, pages viewed, referral source, and general location, collected automatically when you use our website.
Marketing preferences — your interactions with our newsletters, social channels (including WeChat and RedNote), and marketing communications.
We do not collect passport or other government identity documents through our website, online forms or our platform. We do collect personal information, which may include identity details such as passport information, through our study tour programme. This information is collected, held and handled in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
We collect personal information directly from you where possible — for example, when you submit an enquiry, complete a contact or enrolment form, email us, speak with a member of our team, or engage with us on social media. We may also collect information:
from a parent, guardian, or authorised representative acting on a student's behalf;
from a partner school, education agent, or referral source within our network, with your consent;
automatically through cookies and similar technologies when you browse our website (see Cookies and tracking); and
from publicly available sources, such as a school or institution's published contact details, for the purpose of establishing a partnership.
We use personal information to:
respond to enquiries and provide information about Australian partner schools, universities, and pathway options;
coordinate introductions, applications, and enrolments between students, families, and our partner schools;
manage our relationships with partner schools, agents, and representatives in our network;
operate and improve our website, including understanding how visitors use it;
send newsletters, program updates, and marketing communications (you can opt out at any time);
run and measure our marketing activity, including the RedNote Emerging Market Engagement Program and related campaigns; and
meet our legal, accounting, and regulatory obligations.
We only use personal information for the purpose it was collected, or a related purpose you would reasonably expect, unless we have your consent or are otherwise permitted or required by law to use it for another purpose.
To provide our services, we may share personal information with:
Partner schools and institutions in Australia and overseas, for the purpose of progressing a student's enquiry, application, or enrolment;
Education agents and representatives within our network who are assisting with a specific enquiry or application;
Service providers who support our operations, such as website hosting, email and CRM platforms (including Go High Level), analytics providers, and IT support;
Professional advisers, including our accountants and legal advisers, where necessary; and
Regulatory or government bodies, where required or authorised by law.
We do not sell personal information to third parties. We only disclose the information reasonably necessary for the relevant purpose.
Pathways Education Solutions operates through a global network with team members and partner schools in Sydney (Australia), Wuhan (China), and Hanoi (Vietnam). As a result, personal information may be disclosed to, or accessed from, recipients located outside Australia — most commonly our own team members in China and Vietnam, and partner schools or agents in the country where a student or family is based.
Before disclosing personal information to an overseas recipient, we take reasonable steps to ensure it will be handled consistently with the Australian Privacy Principles, including by only sharing what is necessary for the relevant introduction, application, or enrolment. By providing us with your information for the purpose of connecting with an international school or partner outside Australia, you consent to this overseas disclosure.
Many of the students we assist are minors. Where we collect personal information about a student under 18, we do so with the involvement and consent of a parent or legal guardian, and we treat that information with additional care. We do not knowingly collect personal information directly from a child without a parent or guardian's involvement, and a parent or guardian may access, correct, or request the deletion of their child's information at any time by contacting us (see Contact us).
We store personal information using reputable cloud-based platforms and take reasonable technical and organisational steps to protect it against misuse, interference, loss, and unauthorised access, modification, or disclosure. This includes restricting access to personal information to team members and partners who need it to do their job, and using secure, password-protected systems.
No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security. If we become aware of a data breach that is likely to result in serious harm, we will act in accordance with our obligations under the Notifiable Data Breaches scheme.
Our website uses cookies and similar tracking technologies to remember your preferences, understand how visitors use our site, and measure the performance of our marketing, including campaigns run through Google, Meta (Facebook/Instagram), and our RedNote and WeChat channels. We use trusted third-party platforms to run our website, marketing, and communications, including Go High Level (our website and CRM platform), Google, Meta, WeChat, and RedNote (Xiaohongshu). These platforms have their own privacy policies governing how they handle information, and we encourage you to review them. Links on our website to partner schools' or other organisations' websites are provided for convenience — we are not responsible for the privacy practices of those third-party sites.
You have the right to ask what personal information we hold about you, to request a copy of it, and to ask us to correct it if it is inaccurate, out of date, or incomplete. To make a request, contact us using the details below. We will respond within a reasonable time and may need to verify your identity before releasing information. In some circumstances permitted by law, we may not be able to give you access to certain information, in which case we will explain why.

We will investigate and respond within a reasonable time. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
We may update this Privacy Policy from time to time to reflect changes in our practices, our services, or the law. The updated version will be posted on this page with a revised "last updated" date. We encourage you to review this page periodically.
